Game room payout tracking
Every payout logged against a machine, a shift, and the person who entered it, so the payout total at close is a record, not a recollection.
What is payout tracking for a game room?
The short answerPayout tracking for a game room means every payout a machine pays out is written down when it happens, against that machine, that shift, and the staff member who handed it over, instead of being added up from memory at close. In ArcadeX, staff record each payout on the Match System or the app, can attach a photo of the machine screen, and AI reads that photo and flags an amount that does not match. Any edit needs a reason and keeps who changed it and when, and the shift report ties payouts out against matches and closing cash.
- Each payout records
- Machine, amount, staff member, time, and an optional player
- Photo check
- AI reads the payout photo and flags a mismatched amount
- Edits
- Need a reason, and keep who edited and when
- Alerts
- Optional alert each time a payout is recorded
- Used by
- 270+ game room owners
Why do game room payouts drift from the cash drawer?
On a busy Friday a counter can hand out dozens of payouts across twenty or thirty machines. When those land on a notepad, or not at all, the payout total at close is somebody's best guess. Nobody has to do anything wrong for the drawer to come up short: a payout written on the wrong line, a machine number misread, or two payouts merged into one is enough.
The fix is not more counting at the end of the night. It is writing each payout down once, at the moment it is paid, in a place that adds itself up.
How does ArcadeX track each payout?
Each payout becomes a short record the moment it is entered.
- The machine it came from, picked from your own machine list
- The amount, and the staff member who entered it
- The player, if you choose to link one
- A photo of the machine screen, read by AI and flagged if the amount does not match
- A time stamp and the shift it belongs to
What happens when a payout has to be corrected?
Mistakes happen, so payouts can be edited. Every edit asks for a reason and keeps who made it and when. At the end of the month you can see not just the final number but how it got there, which protects the staff member who entered it as much as it protects the owner.
How do payouts show up in the shift report?
The shift report puts matches, payouts, expenses, and closing cash side by side, so the payout total is checked against the rest of the shift instead of standing alone. Reports can email themselves at shift close, and profit and loss per machine shows which machines pay out more than they take in over any date range.
Can I watch payouts from my phone?
Yes. You can turn on an alert each time a payout is recorded, plus an alert when a payout photo does not match the amount entered. Owners with several game rooms see every location from one login.
ArcadeX is built by Charviam, an IT, AI, and digital marketing company. Game room owners kept bringing us the same problems: counts that did not tie out, payouts nobody could trace, and quiet weeknights. We built ArcadeX to solve them, and more than 270 game room owners now run their floors on it.
