About the business
I manage the counter at a busy game room, one of two locations the owner runs. On a good night we hand out a lot of matches, and the counter is where every one of them happens.
The problem: the tally sheet was the whole system
We wrote matches on a tally sheet. A player came to the counter, we gave them a match, someone made a mark. When it got busy, the marks got sloppy.
We missed some. We doubled others.
Then there were the regulars who came back twice in an hour. Maybe they'd forgotten. Maybe they hadn't. On a busy night, with a line at the counter, nobody was going to stop and argue about it.
At close, the count was whatever the sheet said. "Trust me, that's the count." When the owner asked why a night came up short, I didn't have an answer that wasn't a guess. And when a player swore they'd been shorted on a payout, it was their word against ours.
None of that was anyone being dishonest.
It was a busy counter running on a pen.
What we changed: a verified player and a receipt for every match
Now every player checks in at the Match System before they get a match. They choose how: a palm scan, an NFC tag, a wallet QR on their phone, or just their phone number. It's their pick, and all four work the same.
Once a player is checked in, the match is tied to them. A cooldown stops the same person getting a second match inside the window the owner sets, so nobody at the counter has to be the bad guy. Every match prints a receipt. Staff record payouts with a photo, under their own login.
A few limits, honestly. The cooldown length and the match rules are the owner's call, not the software's. And if you offer palm check-in, take written consent first, since several states require it. Most of our players use a tag or their phone anyway.
The result: the count ties out, and receipts settle disputes
At close, the matches, the payouts and the cash tie out on their own. The shift report is done by the time the closer clocks out. When a player says they were shorted, we pull up the receipt together. That conversation used to end in an argument.
Now it takes thirty seconds.
The counter feels calmer, too. Staff aren't refereeing who already had a match. The Match System does that, the same way every time.
The counter is only half of it. The other half is what the machines themselves say.
