About the business
I run a game room with a little over forty machines. A couple of people on the floor each shift, and one of them reads the meters and collects the cash before we open. Most of those machines are older than some of my staff.
The problem: the paper said one number, the box said another
Every week, someone wrote each machine's meter reading on a sheet and counted what was in the box. When I sat down to compare the two, they rarely matched. Some machines came up short. Some came up over. A few came up short every single week.
I had no way of knowing why.
A short machine could be a jam, a test play after a repair, a payout that never got written down, or plain miscounting at 9 am before the coffee kicked in. It could also be money going somewhere it shouldn't. With a sheet of handwriting, all I had was a feeling. And a feeling is not something you can fairly sit an employee down over.
I also couldn't answer a simpler question: which machines actually earn? I kept games on the floor that hardly anyone played, because I had nothing better than a hunch to decide with.
What we changed: readings you can trust, with a name on each one
We put ArcadeX in. Now every reading comes with proof. Staff enter the meter number and photograph the meter, and the number is read from the photo and checked against what they typed. If the photo and the number don't agree, I get an alert in the app and an email that day, not at the end of the month.
Every reading, every match and every payout is entered under the staff member's own login. Nobody shares a code anymore. ArcadeX then compares what each machine's meter says it took in and paid out with what was actually recorded for the same period, machine by machine.
We set two house rules alongside it. Cash is collected by two people together. And everyone clocks in at the Match System with their own access code, so the hours and the entries line up.
One thing I want to be very clear about. A gap isn't proof of anything. Free plays, test plays after a repair and a stuck bill acceptor all create gaps. We use the numbers to ask questions, not to point fingers. When the same machine shows a repeated gap, we check the machine first, with a technician, and then talk it through with the team.
The result: clear numbers and fairer conversations
I can see each machine's numbers side by side now. I moved two machines that barely earned and gave their floor space to games people actually play. When a gap shows up, I see it that week, while everyone still remembers what happened.
The part I didn't expect: my honest staff like it. Every reading has a photo and a name, so nobody gets blamed for a bad count they didn't make.
If your floor runs on more than one tool, here's how we pulled the whole close into one place.
If your readings and your cash never quite agree, ask us about the free one-week test. We set ArcadeX up on your real machines, and if it doesn't show you anything you didn't already know, you walk away. No lock-in.
