About the business
I run a small business with a handful of staff. For about a year, everyone I met kept saying "AI agent." Vendors, my accountant, my nephew. I nodded along without really knowing what it meant.
The problem: a lot of noise and no plain answer
Some people told me an AI agent is just a chatbot with better marketing. Others told me it would run my whole business. Neither sounded right.
I didn't want to buy something I couldn't explain to my own staff in two sentences.
The answer: an agent is software that acts, not just answers
Here's the plain version I eventually got.
An AI agent is software that understands a request, decides the next step, and carries out a task using your business tools. A chatbot mostly answers questions. An agent can also do something: book the appointment, save the order, update the record.
That difference only matters if the agent is connected to your tools. A phone agent that can't reach your calendar can talk all day. It still can't book anyone.
Three examples made it click for me:
- A phone agent. Sanma answers the call, works out what the caller wants, and books the slot or takes the order right there on the call.
- A recruiting helper. It reads a new application and fills in the candidate record, so a recruiter isn't re-typing the same details into three places.
- An operations helper. It watches a stock level and prepares a reorder for a person to approve, before the shelf runs empty.
The honest limits
An agent can make mistakes. It can mishear an accent or a noisy line. It shouldn't decide sensitive things on its own, like a large refund or anything close to medical advice.
A good setup keeps a person in the loop, hands difficult cases to a human, and gets tested on real examples before it goes live. If someone promises you an agent that never gets anything wrong, walk away.
What changed: I can finally judge one
With a clear definition, I could ask better questions. Four of them turned out to be all I needed:
- What exact task will it do?
- Which of my tools will it use to do it?
- When does it hand over to a person?
- How will we test it before customers see it?
Any agent you're offered should have a clear answer to all four. Ours included.
Tell us one task that eats your team's week. We'll tell you honestly whether an agent can do it, or whether a simpler tool would do the job for less.
