About the business
I run a small recruiting firm. A handful of recruiters, each juggling multiple open roles across a few client accounts at any given time. Recruiting is genuinely relationship work, it depends on people actually talking to candidates and clients, not on paperwork.
The problem: my best recruiters were doing data entry, not recruiting
I started paying closer attention to what my team actually did during a normal day, and it wasn't what I expected. A recruiter would source a strong candidate, then spend the next twenty minutes updating three different places with the same information, a spreadsheet, an email thread, sometimes a sticky note that somehow became the system of record for one particular client.
None of that work required a recruiter's judgment. It was just re-entering the same facts in different places because nothing was connected. Meanwhile, the actual skill I was paying for, judging fit, building relationships, moving candidates through a process with care, was getting squeezed into whatever time was left over.
The solution: automating the parts that were never really recruiting
We rebuilt the process so status updates, basic candidate data, and paperwork routing happen automatically instead of being manually re-typed by a recruiter every time something changes. A candidate moves to the next stage, and that update reflects everywhere it needs to, without anyone opening three different documents.
We were deliberate about what stayed manual. Evaluating whether a candidate is actually a good fit, having the real conversation with a client about what they need, that's not something we tried to automate, because it shouldn't be. The goal was never to remove recruiters from the process, it was to remove the parts of the process that were never actually recruiting in the first place.
The benefit: recruiters went back to recruiting
My team spends noticeably less time on repetitive updates and noticeably more time actually talking to candidates and clients. That's not a minor shift, sourcing and relationship-building are the parts of this business that actually drive placements, and those are the parts that were quietly being squeezed out before.
It also means the information itself is more reliable now, since it's updated once, automatically, instead of manually copied across multiple places by whoever had time that day.
If your recruiters are spending real chunks of their day on data entry instead of candidates, tell us what a normal day actually looks like for your team and we'll tell you honestly what's worth automating first.
