About the business
We place contract and permanent workers with client companies, which means onboarding isn't a one-time internal process, it directly affects when a client's new hire can actually start working. A delay on our end is a delay for them too.
The problem: paperwork sat in an inbox, not because anyone was slow
A new hire's start date routinely slipped by close to a week, and it almost never had anything to do with the new hire. It was a form sitting in an inbox waiting for someone to notice it, a signature that needed to be requested and then chased, a document that had to be manually forwarded from one coordinator to another before the next step could even start.
Nobody was dropping the ball intentionally. The process itself just had no momentum of its own, every step required a person to notice, remember, and manually push it forward, and any single busy day could add another day of delay.
The solution: paperwork that moves itself forward
We rebuilt onboarding so a completed step automatically triggers the next one. A signed form routes itself to the right person instead of sitting in an inbox. Required documents are requested automatically as soon as they're needed, not whenever someone remembers to ask. The process has its own momentum now, instead of depending entirely on someone noticing it needs a push.
We didn't try to remove people from the process, the parts that actually need a human, reviewing something unusual, handling an exception, still go to a person. What changed is that the routine handoffs that used to depend on someone's attention now happen on their own.
The benefit: two weeks became two days
What used to take close to two weeks from offer to actual start date now typically takes about two days. That's not because anyone works faster now, it's because the process stopped losing days to paperwork sitting untouched between steps.
Clients notice this directly, since a faster start date is their new hire actually being productive sooner. And our coordinators aren't spending their day chasing down where a form got stuck, because it mostly doesn't get stuck anymore.
If start dates at your agency keep slipping and it's never really anyone's fault, tell us what your current onboarding process looks like and we'll show you where the actual delay is coming from.
