About the business
I manage a 90-person office with interviews, vendor visits and client meetings every day.
The problem
Visitors showed up with no warning. Reception wrote names in a book, phoned the host, and hunted for a visitor card.
Mornings had a queue. The book was unreadable. And because hosts often forgot to mention their guests, we couldn't say who was actually in the building.
What we did
Hosts now pre-register their visitors with a name, date and time.
The visitor gets an email with a QR code that works only for that time window, at that entrance. They scan it at the door, the host is told they've arrived, and reception sees them on screen. The code expires, so a forwarded email stops working.
Staff and high-risk doors stay on cards. And for the visitor nobody mentioned, reception can still register them on the spot in about thirty seconds.
The result
The queue is gone. At any moment, I can see who's in the building and who they're visiting. The book is retired.
Visitors get only the doors we choose, for the time we choose.
Why the code has to expire is a story in itself.
