A Tenant Moved Out, and His Fob Moved On With Him

A property manager ties building access to each tenancy, uses temporary codes for contractors, and settles disputes with the log.

    About the business

I manage a 60-unit apartment building with a main entrance, a parking gate and a bike room.

    The problem

Move-outs were the weak point. Residents kept their fobs, new tenants got new ones, and the old ones were never cancelled.

Contractors borrowed fobs from the office and brought them back late, if at all.

And when two neighbors argued about something that happened in the bike room, I had no record of who'd been in there.

    What we did

We tied every fob to a unit and a lease date. On move-out, the fob is cancelled, and the new tenant gets a new one.

Contractors get a temporary code for one door and one day. Never a fob.

The log records every entry by unit, so a dispute can be checked against facts. We also set which areas each unit can use, so a tenant without a parking space can't open the gate.

    The result

I don't chase fobs at move-out anymore. Old ones stop working on their own. Disputes get settled by the log, not by whoever argues loudest.

We keep the log for a period we set in writing, and residents were told exactly what we record.

Offices have the same problem with leavers. Here's how one firm closed it.
