About the business
I manage a distribution warehouse with a stock cage, an office and three dock doors.
The problem
Our door system had recorded every entry for four years. When a box of high-value parts went missing, I opened the log for the first time.
It was a wall of lines.
I didn't know what normal looked like, so I couldn't spot what wasn't.
What we did
With our integrator, we cut the log down to four questions we ask every week:
- Who entered the stock cage after hours?
- Which cards were refused, and how many times?
- Which doors were held open too long?
- Which cards were never used at all?
It takes fifteen minutes on a Monday morning.
We also wrote down how long we keep the log and who's allowed to read it, and we told staff that the log exists and why.
The result
The first review found two cards nobody was using, which we cancelled, and a door staff kept propping open.
We didn't solve the missing box from the log alone. But now, when something happens, I can answer who was there and when.
A log nobody reads is just storage.
One of those unused cards could have belonged to someone who'd left. That happened to an accounting firm.
